Request to call special vote, June General Membership Meeting 6/14

Hi League members,

Wrapping up the 2022-23 League year, we are calling a special vote to approve the member requirements for the upcoming Ride-a-Rig community event and fundraiser on September 10th. The event hours are 10AM-2PM, with additional volunteer support needed before and after the event.

Request for virtual general membership meeting: Wednesday, June 14th 6:30PM

On June 8th, the Board approved the recommendation for the following requirements, subject to final approval by the membership. Because this is a League-wide event, all active members are expected to support and contribute to the success of the event.

MOTION TO APPROVE the membership requirements for the upcoming Ride-a-Rig fundraiser on September 10th:

·         All eligible active League members will provide six volunteer hours (one of two shifts available) on the day of the event

·         All eligible active League members will fulfill their financial requirement by selling 15 event tickets (or) corporate sponsorship(s) valued at $150 or greater

·         All eligible active League members will contribute a raffle item valued at $50 market value.

o    Note: for this event, alcohol donations will not be accepted.

NOTES ON THE MOTION

If you are not able to volunteer at Ride-a-Rig, please contact volunteer coordinator Sandra Villa as soon as possible. There are limited volunteer hours available outside of September 10th for members who are unable to attend the event to fulfill their hours requirement.

All members are encouraged to pursue event sponsorships, from $100 ATV level sponsorships (such as realtors, dentists, local restaurants) up to corporate sponsorships ($2.500 or greater.) The Ride-a-Rig committee will be making a master tracking sheet of sponsorship requests available to avoid duplicate requests. Please contact Lynn Van Fleit before contacting corporate sponsors ($2,500 or great) for suggestions and to confirm if there are any sold-out categories.

For raffle items, this can be one item worth $50 or greater (such as a $50 child’s toy) or a gift basket/prepared combined gift worth $50 (such as a gift basket of school supplies or a family fun supplies). All raffle items that would appeal at a family-friendly event are welcome, but please note that no alcohol can be accepted.

To support soliciting “rigs” for the event, please contact the Ride-a-Rig committee to review the available list before reaching out for local vehicles.

Thank you to our members, active and sustainers alike, for your support and enthusiasm for our fundraiser for 2023-24! Ride-a-Rig is a very special community event and we need everyone’s help to make it a success!

We will have time on Wednesday to answer any questions about the motion and provide general information about the raffle and sponsorship packets. If you are not able to join the virtual meeting on Wednesday, please email your vote to our parliamentarian by Wednesday at noon: _________________________.

With appreciation,

Katie Behrhorst
